Shopping Centre Security and Cleaning Records

A shopping centre uses Real-Link to record both security patrols and cleaning inspections across the site. The same platform handles both functions, giving management a single view of operational activity across all areas throughout the day.

Under the Occupiers Liability Act 1957, shopping centre owners and managers owe a duty of care to all visitors on the premises. Slips, trips and falls account for 30% of all non-fatal workplace injuries reported to the HSE. When a visitor or member of staff is injured, a documented record of that day's cleaning and safety inspections is the primary evidence that reasonable steps were taken.

The challenge

Shopping centres require two separate operational functions to be recorded consistently every day: security patrols covering the site perimeter, car parks and public areas, and cleaning inspections confirming that each area has been attended to the required standard. These were managed on separate paper systems, creating a fragmented picture for the centre management team and making it difficult to provide tenants with evidence of service delivery when asked.

The solution

NFC tags were placed at key points throughout the shopping centre including mall entrances, service corridors, car park zones, toilet facilities, food court areas and the main service yard. Security operatives scan their patrol checkpoints during rounds. Cleaning supervisors scan the same location tags, which open cleaning inspection forms specific to that area.

Both sets of records sit in the same management view, giving the centre operations team a single source of information covering all activity across the site. Tenants with concerns about service levels in their area can be shown the inspection record for any date.

Tenant confidence
When a tenant raises a concern about cleaning standards or security coverage in their area, the centre management team can pull the relevant records immediately and show exactly what was completed, by whom and when. Most concerns are resolved in the same conversation.

What changed

Security and cleaning operations share a single digital record system. Management can see all activity across the site in real time from one view. Tenant queries are resolved quickly with documented evidence rather than manual investigation.

Managing security and cleaning across a retail or leisure site?

Real-Link combines both functions in one system, giving management a single real-time view of all operational activity.
