Hospital Security Premise Checks

A healthcare site uses Real-Link to record security checks across a large hospital premises, covering multiple buildings, car parks, restricted areas and external zones. Every check is timestamped and attributed to the operative on duty, giving management a complete record across every shift.

NHS and private healthcare sites are subject to Care Quality Commission inspection and NHS Protect security standards, both of which require documented evidence of security checks, incident records and risk assessment activity. A gap in a shift's check record is not just an operational oversight. It is a compliance issue that inspectors will identify and act on.

The challenge

Security operations on a hospital site are complex. Multiple buildings, car parks, restricted clinical areas, external zones and 24-hour shift patterns mean that maintaining a consistent and verifiable check record is difficult with paper-based systems. When an incident occurred and management needed to establish what checks had been completed that shift, finding the answer took significant time.

The solution

NFC tags were placed at key locations across the site including building entrances, car park perimeter points, restricted access doors, plant rooms and any area included in the security specification. Each location tag triggers the relevant check form for that area.

The security team complete their checks in the same structured way on every shift. Where an incident or concern is identified such as an unsecured door or damaged equipment, it is logged immediately from the device with a photo and description before the operative moves on.

Shift accountability
Management can view a complete record of every check completed on any shift by any operative from any device. Gaps in coverage are visible immediately rather than being discovered only when something goes wrong.

What changed

Check completion is consistent across all shifts and all operatives. Incidents are logged at the point of discovery with photographic evidence rather than being recorded retrospectively. Management has immediate visibility of coverage across the whole site without waiting for a shift handover report.
