Incident Reporting

Every incident logged at the scene,
before anyone walks away.

Staff raise an incident report from wherever they are standing. Photos, GPS location, incident type, description and witness details are all captured on the device and in your portal before they take another step.

Tamper-evident audit trail
The old way: written up two hours later, from memory.

With Real-Link, the report is created at the scene, the moment it happens.

A paper report written up after the fact relies on memory: the detail fades, the exact time becomes a guess, and there's no photo to back it up. Real-Link replaces that with a description, photo and location captured at the scene, with a server-side timestamp that cannot be changed after the fact.

Used to defend insurance claims
Jack Martin at Corporate Facilities Services uses Real-Link incident records to counter insurance claims with photo and GPS evidence logged at the point of incident. The difference between a verifiable record and a written-up report is significant in that situation.
What you get

Everything your team needs, in one app.

Photos and video on every report
Multiple photos and short video clips attached to any incident submission. Timestamped and stored permanently with the record.
GPS location captured automatically
The precise coordinates of the incident are recorded at the point of submission. No manual address entry, no ambiguity.
Manager notified immediately
Submitted reports trigger an instant email alert to the relevant manager with the incident summary, location and photos attached.
Witness and person details
Capture names, descriptions and contact details for anyone involved or present. Everything in one submission, no separate paperwork.
Tamper-evident record
Timestamps set server-side at the moment of submission. The record cannot be altered afterwards. This is what insurers and legal teams need.
Incident trends and patterns
View all incidents across all sites in one dashboard. Filter by type, severity, site or date to identify recurring problems early.
How it works

From scene to escalated record in under a minute.

The whole process takes less time than writing a note on paper, and the result is far more useful when a dispute arises.

1
Staff open the incident report on device
The report form is accessible directly from the app menu or by scanning the NFC tag at the location. The right form opens for that incident type.
2
Evidence captured at the scene
Photos, description, incident type and GPS all captured before leaving the location. Digital signature from a witness if needed.
3
Report uploaded and managers notified
The submission reaches the portal the moment it is sent. An alert goes to the right manager with the full details straight away.
4
Permanent record stored for audit
Every submission stored with its photos, GPS and timestamp. Searchable, exportable and available to download at any time.
What you need
NFC-enabled Android device

RFID and NFC tags
Adhesive tags for each checkpoint or inspection point. Supplied and registered in your portal as part of setup.
Web portal access
Any browser, any device. Live data for your team, a separate login for your clients, and reports that run automatically.
No specialist hardware. No server installation. Real-Link is cloud-based and live in days, not months.

Insurance claims can be countered easier and more effectively. Real-Link simplified how we document attendance, communicate issues and provide service transparency across all our sites.
